reach out to her colleagues at the Florida State University Music Library (FSUML), who recommended the use of an Epson Expression 12000XL Photo scanner. This scanner type worked well because it was easy to use and provided flexible options to handle scores in large-formats and different types of paper. After scores were scanned, digital copies were generated and deposited into ContentDM, the institutional repository software used by Troy University. At this point, assigning metadata became necessary to provide access to the collection, but given to Ruth’s lack of musical expertise, the selection of metadata fields was not evident. In consequence, Ruth decided to perform some research and reach out to her colleagues at FSUML one more time. They helped by directing her to their metadata application profile, also known as a digital dictionary. From the application profile, Ruth selected fields that would be useful to potential users of the collection, such as: creator and contributors to represent composers and arrangers, instrumentation for specific instruments, and Library of Congress subject headings for topics. The collection is currently available at the Alabama Mosaic repository at http://www.alabamamosaic.org/. At the end of the presentation, Ruth wrapped up with an evaluation of the project, including lessons learned and potential improvements for the future. Some of the lessons learned included: being careful with what is promised to donors, documenting the agreement with donors before starting any work to avoid future misunderstandings, and realizing that reaching out for help is ok, none of us know everything. Potential improvements for the future included: hiring a music student to assist in the processing of scores, documenting the procedures to establish consistency, and defining the metadata fields at the beginning of the project, so that metadata can be applied during the scanning process and not afterward.
